Podcast Growth Task Prioritization Framework


It's easy to get overwhelmed by all of the things you could be doing to improve your podcast, grow your audience, nurture your listeners...etc. But hey, let's get realistic:

  • What do you have time for?
  • What do you WANT to do?
  • What should you leave behind?
  • What should you put aside and maybe come back to later?

Try this scoring system to determine what's right for YOU to focus on for YOUR podcast. "YOU" and "YOUR" are capitalized there because I want to emphasize that the goal is to figure out what you need, not someone else. Because, as we all know, when it comes to the next best move for you, it really depends.


Scoring System: Marketing Task Prioritization Framework

Step 1: List Your Options

Write down 3-5 possible priorities. For example:

  • Improve episode quality
  • Batch record episodes
  • Create social content
  • Grow your newsletter
  • Publish more video
  • Find collaborators
  • Pitch sponsors
  • Increase listener retention
  • Improve the production workflow

Step 2: Score Each Option

Give every potential priority a score from 1-5 in these four areas:

  • Impact: How much could this improve the podcast?
  • Evidence: How confident are you that this is a real need?
  • Feasibility: Can you make meaningful progress within ~30 days (or an amount of time you set)?
  • Energy: How motivated are you to work on this right now?

Add the four numbers together. The highest possible score is 20.

Step 3: Choose Your Focus

Select the highest-scoring priority. If two options tie, choose the one that will give you useful feedback sooner.

Complete this sentence:

For the next 30 days, I’m focusing on __________ because __________.

Step 4: Make It Measurable

Define:

  • One outcome: What should be different after ~30 days?
  • One recurring action: What will you do each week to make it happen?
  • One metric: What number or signal will outline that progress?
  • One check-in: When will you evaluate whether it’s working?

Example

  • Focus: Grow my podcast newsletter
  • Outcome: Add 50 relevant subscribers
  • Weekly action: Promote the newsletter in every episode and publish one useful issue
  • Metric: New subscribers and welcome-email replies
  • Check-in: Review results after two weeks

Final Step: Create a “Not Now” List

Move every other idea onto a “Not Now” list. Keep in mind that you're not rejecting those ideas, but deciding to protect your time and efforts.

The bare-minimum version: list three possible priorities, score each one on impact and feasibility, and choose the winner.
